Filevine Dropbox Sync

Trellys syncs your Filevine documents with Dropbox, both ways. Each case you choose gets a folder in your Dropbox. A document added in Filevine appears there. A file your staff save or edit in that folder returns to the same case in Filevine.

Filevine is the record

Every change made in Filevine reaches Dropbox. Every change your team makes in Dropbox comes back to Filevine, except deletes. Filevine always keeps the full record.

  • Deleting a file or folder in Dropbox never removes anything from Filevine.
  • A case folder renamed in Dropbox takes its Filevine name back.
  • A document deleted in Filevine is removed from Dropbox, unless someone changed it there first.

Work from the Dropbox folder on your computer

Staff who use the Dropbox app already have its folder on their computer. With the Filevine Dropbox integration, a case's documents are in that folder. They open a document in Word, make their changes and save. Dropbox picks up the change and tells Trellys. Trellys saves it to Filevine as a new version of the same document.

A new file saved into a case's folder is added to that case in Filevine, in the matching folder.

No edit is overwritten

Every time Trellys updates a file in Dropbox, it tells Dropbox which version it expects to replace. If someone saved a newer version in the meantime, Dropbox refuses the update. The edit stays in place.

Trellys then follows the conflict rule. Filevine's version wins, and the Dropbox edit is kept beside it under a new name. The Filevine document is tagged #sync-conflict, so your team can see what happened and bring the edit across.

Folders that match Filevine

You choose the folder in your Dropbox that cases sync into. Inside it, each case has a folder named with its Filevine project number and name, such as "2303 - Smith v. Jones". Filevine's folders are mirrored inside each case.

A file deleted in Dropbox is never deleted in Filevine. By default Trellys puts it back from Filevine. Your firm can choose to let deletes stand instead.

Setting it up

  1. The owner of the Dropbox account approves Trellys once.
  2. You pick the Dropbox folder that cases sync into.
  3. Your firm chooses which cases sync: cases tagged #sync in Filevine, or every active case.

Documents already in those cases are copied into Dropbox.

Questions

Does Filevine Dropbox sync work both ways? Yes. Filevine documents go to Dropbox, and new files and edits in Dropbox come back to Filevine.

Which Dropbox accounts does it work with? Dropbox Plus and Professional accounts. One Dropbox account is connected for the firm.

Can my staff edit Filevine documents in Word from Dropbox? Yes. They open the document from the case's folder in Dropbox, edit it in Word and save. Filevine gets the new version.

What if someone edits a file while Trellys is updating it? Their edit is never overwritten. Dropbox refuses Trellys's update, the edit is kept under a new name, and the Filevine document is tagged so your team can review it.

What happens if a file is deleted in Dropbox? Nothing is deleted in Filevine. The file is put back in Dropbox by default.

Which files sync? Word, Excel, PowerPoint, PDF, email and image files. Audio and video can be turned on.
