Filevine SharePoint Sync

Trellys syncs your Filevine documents with a SharePoint document library, both ways. Each case has a folder in SharePoint. Your staff open a document in Word, make their changes and save. The new version goes back to the same document in Filevine.

Filevine is the record

Every change made in Filevine reaches SharePoint. Every change your team makes in SharePoint comes back to Filevine, except deletes. Filevine always keeps the full record.

  • Deleting a file or folder in SharePoint never removes anything from Filevine.
  • A case folder renamed in SharePoint takes its Filevine name back.
  • A document deleted in Filevine is removed from SharePoint, unless someone changed it there first.

Work on case documents in SharePoint and Word

Your team already works in Microsoft 365. With Filevine SharePoint sync, a case's documents sit in SharePoint next to everything else they use. They can open them in Word, Excel or PowerPoint, on the desktop or in the browser.

When someone saves, SharePoint tells Trellys a file changed. Trellys waits until the edits stop, then saves the file to Filevine as a new version of the same document. The case keeps one document with its full history, not a pile of copies.

A new file saved into a case's folder in SharePoint is added to that case in Filevine, in the matching folder.

Your library, laid out by case

During setup you choose the SharePoint site, library and folder that cases sync into. Each case gets a folder named with its Filevine project number and name, such as "2303 - Smith v. Jones". Filevine's folders are mirrored inside, so staff find a document where they would look for it in Filevine.

Folders that are not case folders are left alone. Trellys does not touch the rest of your SharePoint.

When a document changes in both places

If the same document is changed in Filevine and in SharePoint before they meet, Filevine's version wins. The SharePoint edit is kept beside it under a new name. The Filevine document is tagged #sync-conflict so your team knows to look.

Setting it up

A firm administrator connects Microsoft 365 and picks the library. Then the firm chooses which cases sync: cases tagged #sync in Filevine, or every active case. Documents already in those cases are copied into SharePoint.

Questions

Can my staff edit Filevine documents in Word? Yes. They open the document from the case's folder in SharePoint and edit it in Word. When they save, Filevine gets the new version.

Does a Word edit create a second document in Filevine? No. It is saved as a new version of the same Filevine document.

Can we choose where cases go in SharePoint? Yes. You pick the site, library and folder during setup. Each case then gets its own folder there.

What if someone deletes a file in SharePoint? Nothing is deleted in Filevine. By default the file is put back in SharePoint from Filevine. Your firm can choose to let deletes stand instead.

Do Excel and PowerPoint files sync too? Yes. Word, Excel, PowerPoint, PDF, email and image files all sync.

Does every case sync to SharePoint? Only the cases your firm picks, by tagging them #sync in Filevine or syncing all active cases.
